Information you give us by filling in forms on our site or by corresponding with us by phone, e-mail or otherwise. When you apply for a property from us we will collect information from you so that we can assess the priority of your case. If we consider offering you a property we will ask for details of your finances to make sure you can pay the rent.

When you apply for a property and when you sign up for a tenancy, you may need to tell us personal information about members of your family and household. We will only process personal information about members of your family and household to the extent that is necessary to provide the services you use.

When you become a customer of ours, we collect ongoing information from you on various forms, on our websites and through contact with you via telephone, letters and email, calls to and from our 0300 numbers are recorded; also many of our properties are protected by CCTV.

When you use the Website to apply for jobs with us, we collect information relevant to our recruitment process.

When you visit the Website our web server automatically records your Internet Protocol (‘IP’) address. This IP address is not linked to any of your personal information. We use IP addresses to help us administer the Website and to collect demographic information for aggregation purposes.

We may also gather other non-personal information (from which we cannot identify you) such as the type of your internet browser which we use to provide you with a more effective service.

  • Making sure our services are delivered fairly

In some cases, such as ASB and service monitoring, some of the information we use may be classified as “sensitive” under the Act. We will only process sensitive personal data to the extent that is necessary to perform our services or to comply with the requirements of any contract we have entered into with you or any other legal provisions.

With regards the information we receive from other sources, we will combine this information with information you give us and information we collect about you. We will use this information and the combined information for the purposes set out above (depending on the types of information we receive).

When we share your information

At all times we will take care of your personal information in line with the Act. We will never share your information with others unless there are good, legal reasons for use to do so.

There are times when it is in your interest for us to share you information, and times when it is required by law. The kinds of organizations we share information with include local authorities (councils), the policy, utility companies and contractors working on our properties.

You should be aware that we will provide your current address to utility companies, local authorities and legitimate debt-collectors, as required by law.

  • Any member of our group, which means our subsidiaries, our untimate holding company and its subsidiaries, as defined in section 1159 of the Companies Act 2006;

Where we store your information

All information you provide to us is stored on our secure servers. Any payment transactions will be encrypted using SSL technology.
